Grants & Funding

Guild-affiliated clubs may apply for funding to help improve the campus life for students.

You can download your grant applications here!

Clubs can submit grants through the Societies Council. Clubs also affiliated to the Public Affairs Council can access to PAC grants.

Faculty Societies can apply for funding through the Education Council.

Remember your club should not rely upon grants upon to support your regular activities. You should always plan to be financially sustainable through general membership, events and initiatives, sponsorship deals or other fundraising efforts.

Orientation Day Grants

O Day is one of the best ways for clubs to promote themselves to incoming freshers, market their events, and sell memberships, but the costs associated with running an O Day stall can get a little steep! To claim reimbursement for some of those costs, each club can apply for an O Day Grant.

To submit an application for O Day Grants, simply email the Societies Council Treasurer at soc-treasurer@guild.uwa.edu.au with the subject line “[CLUB NAME] O’DAY GRANT 202x,” attaching your club’s stall hire invoice, and a csv document including the names and UWA student numbers of all financial memberships sold O Day.

The maximum amount which each SOC-affiliated club may receive for their O Day Grant is the price of an unshaded stall, as well as $4 per financial membership sold to UWA students who are also Guild members, up to 50 memberships.

The deadline for O Day Grant applications is early March of the current year.

Semester Grants

Towards the end of each semester, every SOC-affiliated club may apply for regular Semester Grants. These Grants are very broad, and practically any expenses incurred during that Semester can be claimed, with some general exceptions. Expenses which cannot be claimed include the purchase of alcohol, travel or transport expenses, committee benefits or incentives, donations, the purchase of prizes, events without an approved EMP, and advertising expenses. If you’re unsure about whether to include something, feel free to reach out to the Societies Council Treasurer for advice!

To submit an application simply download the template below, and email the completed forms along with the attached receipts to soc-treasurer@guild.uwa.edu.au. You will also need to include a succinct rationale explaining all of the claimed expenses, as a pdf attached to the email. Please ensure that your attachments including receipts are labelled correctly, and that the entire application is submitted before the deadline. Non-attendance at monthly Societies Council General Meetings shall result in penalties to that club’s Semester Grants, as set out in the Club Grants Policy.

The deadline for Semester 1 Grant applications is mid-June of the current year, and the deadline for Semester 2 Grant applications is early November of the current year.

Special Projects Grants

The purpose of Special Projects Grants (SPGs) is to fund events, initiatives, and purchases which are of significant benefit to a club’s financial members and further the expressed objects of the club.

SPGs are divided into three categories – major, collaborative, and standard. To receive the maximum amount possible an application must satisfy all three categories. Fulfilment of one category will result in a 66% reduction to that maximum amount, and fulfilment of two categories will result in a 33% reduction to that maximum amount.

Major SPGs are targeted towards events, and this section of the SPG application must demonstrate that the event’s attendance is over 50% of the club’s financial membership and is attended by over 100 people.

Collaborative SPGs can be used for events and initiatives, and this section of the SPG application must demonstrate genuine collaboration between Affiliated Societies and/ or Guild Departments in the planning and execution of the event or initiative, as well as demonstrating that the event or initiative is accessible to financial members and otherwise.

Standard SPGs are targeted towards events and initiatives. This section of the SPG application must simply demonstrate that the expenses being claimed are for an event or initiative which provides lasting benefit to the club’s financial membership and furthers the expressed objects of the club.

You may apply for multiple categories of SPG for the same event, but an event cannot receive SPG funding in addition to Semester Grant funding. Only events or initiatives held at the UWA Crawley campus will be eligible to receive SPG funding.

You can apply for SPGs for either past or upcoming events. Where the Grant is approved before the event or purchase takes place, a final expenditure statement including receipts of all expenditures must be submitted to the Societies Council Treasurer no less than two weeks after the date of the event or purchase.

To apply for an SPG for your club simply email soc-treasurer@guild.uwa.edu.au with the subject line "[CLUB NAME] SEM [1] SPG 202x" - adjusting for your club's name and the appropriate semester. This email must include, as attachments, a completed budget of all expenses and incomes relating to the grant, a rationale detailing all expenditures, and all of the appropriate quotes or receipts as applicable."

The deadline for Semester 1 SPGs applications is mid-April 2024 of the current year. The deadline for Semester 2 SPGs applications is early August of the current year.

PAC Grants

The Public Affairs Council provides special project grants for events and initiatives run by PAC clubs. These are often to support participation in theme weeks and promoting diversity on campus.

Base Funding

Faculty Societies receive base funding from the Guild each semester, based on the number of enrolled students, net liquid assets and sponsorship received.
